Phone changes took place; new instructions below
Note: The instructions below were updated Monday night. A key step in the process was incorrect.
On Friday night, Jan. 12, the IT department implemented the new phone system.
Now that the new system is in place you will need to change your password, record your personal verification, and record your greeting. Below are the instructions on how to do this. All other functions will remain the same. Please read the entire document before attempting to change anything. When the system is functional, you will be able to receive new messages in your mailbox. The callers will hear a default system greeting until you are able to record your greeting.
CALLPILOT VOICE MAIL INSTRUCTIONS
You have been assigned a "Voice Mailbox" on the Call Pilot Voice Mail System. Your Voice Mailbox is the last 4 digits of your phone number. This system is very similar to our previous voice mail system. You will use the same number scheme for almost all features.
To set up your mailbox, dial 2887 from campus phones or 792-2887 from off campus phones. The first time you login to your new mailbox you will have to assign a new password. When setting your new password, be aware of the following. Your new password will be 4 digits in length. It cannot be a simple/obvious password such as: 1111, 1357, 2468, 1234, 4321, and 9876 or one of similar patterns of these.
TO ASSIGN YOUR NEW PASSWORD
Your initial password is (12 + your Mailbox#). To change your password: a. Lift your handset, dial (2887). (listen to prompts). b. Enter your mailbox number. Press #. c. Enter your password (12 + your Mailbox#). Press #. d. Press 84. Enter old password (12 + Mailbox#) e. Enter new password. (XXXX) Press #. f. Enter new password again. (XXXX) Press #.
Your password has been changed. Please DO NOT forget your password.
RECORD A PERSONAL GREETING
You may record an external & internal personal greeting which outside & inside callers will hear when their calls are routed to your voice mailbox. If you only record an external greeting, all callers will hear that greeting.
Please record an external greeting and a personal verification. The personal verification is just your first and last name. It is very important as it identifies your mailbox to callers and assures them they have reached your mailbox. It also identifies you when you leave another employee a message.
TO RECORD YOUR GREETING: a. Log into your mailbox with your new password. b. Press 82. c. To record external greeting, press 1. To record internal greeting, press 2. (Optional) d. Press 5 to record. Wait for tone, begin recording your personal greeting, press # to stop recording. To check greeting you have recorded, press 2. e. To exit, press 4. f. Press 82 again. g. To record your personal verification (Name Only), press 9 h. Press 5 to record. Wait for tone, say your name, press # to stop recording. To exit, press 4, or 83 to Log Off.
