Please
note: Even if previously approved, proctors must file a new
form for each test. See the link to the Proctor Form above for the
online form. |
Proctors ensure the reliability of test results by validating
the identity of the test taker, monitoring the testing conditions and
ensuring the security of the test itself. A student in a remote location who cannot travel to an outreach
center can arrange to take tests by requesting a qualified individual
(see list below) to monitor, or proctor, his or her exam. If a qualified individual agrees to proctor a student’s exam,
the proctor fills out the online form. Distance Learning evaluates the form and, if approved, sends
the appropriate testing materials to the proctor. These arrangements should be made at least
one week in advance of
the testing dates. Distance Learning appreciates the
support offered by proctors.

QUALIFICATIONS FOR PROCTORS
|
To be approved as a proctor,
an individual should hold one of the following positions listed
below. Personal friends, family members, and co-workers are
not approved proctors.

- dean
- department head
- registrar
- professional staff member of the
adult or continuing education office
- counseling center
- testing center
- Private or public school
- superintendent
- principal
- counselor
- City, county, etc.
- certified librarian
- civil service examiner
- judge of a court of law
- county extension agent
- Other
- United States Armed
Forces Educational Services officer
- clergy member

GUIDELINES FOR PROCTORS
The
main concern for a proctor is to preserve the academic integrity of the examination. In
order to maintain these standards, we recommend the following guidelines:

BEFORE THE EXAM:
|
- When requested by a student to proctor
an exam, a proctor should fill out and submit the Proctor
Form. Distance
Learning staff will evaluate the information and respond.
If it is a written exam, a packet containing the testing
materials and instructions will be sent by mail.
If the exam will be taken by computer, you will receive an email
with the appropriate passwords, restrictions, special
instructions, and certificate of supervision.

When you receive a packet for written
exams, carefully read the cover letter to make
sure that you find the directions to be clear.

Contact
that student and arrange a time for him or her to come in to
take the exam. Also
inform the student of any specific instructions pertaining to
the exam, i.e. if the exam is an open book exam or if the
student is allowed to use notes.

ADMINISTERING THE EXAM:

Ask
the student for photo identification to verify the student’s
identity.

Find
a quiet area where the student may take the exam with little
distraction. Allow
the student to bring in this area only those materials needed
for the exam.

Open
the sealed envelope containing the examination only when the
student is ready to begin the exam.

If
you yourself are unable to supervise the student, please do
not pass the examination to another proctor unless you obtain
permission from the DL office. To meet accreditation standards,
it is necessary that the other proctor be submitted for
approval using the Proctor Form and that
the other proctor also sign the Certificate of
Supervision included in the testing materials packet.

The
student must work on the exam independently, without
assistance from other persons or from other references, unless
otherwise indicated above or on the examination.

Set
your watch or timer for the exact amount of time allotted for
the exam. When
that time is up, pick up the exam whether the student is
finished or not.

Make
a copy of the completed exam or Scantron sheet in the event
the exam is lost in the mail. Do not make a copy of the exam
or the answers for the student, however: most professors do
not hand back exams in order to maintain control of the
examination questions.

Please
complete the Certificate of Supervision and return it with the
examination. The examination is not to be retained by the
student.

Mail
the exam and any answer sheets back to Distance Learning in the envelope provided or to the address on the
cover sheet. Do not allow the student to mail the exam
himself/herself.

If
the student does not take the examination, please return it to
the DL office in the envelope provided.
