How can I check my Lewis-Clark State College email from anywhere on the Internet?
Answer:
Lewis-Clark State College faculty and staff that use Exchange for their email are able to access their e-mail from anywhere on the Internet.  To do this, simply follow these few basic steps:

1) Go to the IT website www.lcsc.edu/it and select "check your e-mail from off campus under Faculty & Staff.

2) At the prompt, type in your "User Name and Password" to access your email (User Name is the same name as in #2, then type in your LCSC network account password.

NOTE: Please note that accessing your e-mail via the Web does not provide all the features and options that are available when you access e-mail directly from the LCSC LAN (Local Area Network).

I hear talk about "Thin-Client" technology. What is it?
Answer:
Thin Client technology can best be summarized as taking the computing horsepower requirements of your computer, and moving them back to the server. The power at the desktop is "thinned down" thus resulting in a Thin Client configuration vs. a Full Client configuration.  Instead of having a CPU sitting next to you for running your software and saving your documents, these functions will be done from a central server.

In today's environment, computers must be upgraded frequently to take advantage of the latest applications and operating systems. Purchasing new computers, deploying them, and maintaining the software and hardware is costly. High-performing desktops are needed because all the processing is accomplished on the desktop computer. This was very important in the days when networks were slow and unreliable, and servers/mainframes were expensive.

Networks have come a long way and central computer costs have plummeted. Much money can be saved by moving the processing requirements back to a single server (or group of servers) in the computer room that are shared by many users. Without the need for high performance by the desktop, older computers can appear to run the latest applications with ease, software only has to be updated once at the server for all users to have it, & desktop repairs/visits are substantially reduced.

Think of how much computing power a desktop has, and how little time you spend at the computer using it. And even when you are using it, you're using a small percentage of its ability. Sharing the power of the server across many users becomes a real saver.

Other benefits are:
- You can access "your desktop configuration" from any networked computer around the campus (and even on the Internet), because your unique desktop configuration is now located on the server.

- Classrooms can share computing resources without the worry that the configuration for a specific class will be compromised.

- Campus-wide application upgrades can now take places in days or perhaps hours, instead of weeks or months.

- The life of a computer is signficantly expanded, saving valuable funding for staff, faculty, and other uses.

- Macs and PCs can live in harmony, because the server doesn't care what desktop device (within reason) is used by the end user.

Disadvantages are:
- If the network were to fail, access to files and software would be lost until the network is back online.

- Mobile users with laptops would still require a "full client" configuration for when they are not connected to the network.

How do I make "MyLCSC" the default in Outlook (for PCs) and make shortcuts?
Answer:
For users using PCs and Outlook:

  1. In Outlook, while viewing the Inbox or Outlook Today, click on <Tools> from the menu bar
  2. Click on <Options> in the pull down menu
  3. Click on <Other>
  4. Click on <Advanced Options>
  5. In the area entitled “Startup in this folder” … click/select <Journal>
  6. Click <OK> to exit … the default window is now pointing to “Journal” 

Once this is done, you need to point “Journal” to the Intranet Site by doing the following:

  1. In Outlook, while viewing the Inbox or Outlook Today, click on the icon for ‘Folder List’ or from the menu click on <View> and then click on <Folder List> to open it.  The column will appear.  (It may be already open if the user uses it) 
  2. Right Click on <Journal> in this list
  3. Click <Properties> and then select <Homepage>
  4. Type in the address identically as listed here:                   http://intranet.lcsc.edu
  5. Click the box “Show home page by default for this folder” so that a checkmark appears in it. 
  6. Click OK … and you’re done.  Whenever they log into Outlook, the default window will be “MyLCSC”.

CREATING SHORTCUTS FOR THE USERS TO RETURN TO MyLCSC

This is very important so that users can return to MyLCSC after going to their Inbox or Calendar. 

Many users don’t use the Outlook Shortcuts bar (on the left of the window), and prefer to use the Folder List.  Please do the following to create shortcuts in both: 

  1. In the “Folder List”, right click on <Outlook Today> in the column and select <New Folder …>
  2. When the new folder window opens, type in the name of “MyLCSC” and click OK
  3. A new folder entitled “MyLCSC” will appear in the Folder List under Outlook Today
  4. Right Click on <MyLCSC> in the Folder List
  5. Click <Properties> and then select <Homepage>
  6. Type in the address identically as listed here:                   http://intranet.lcsc.edu
  7. Click the box “Show home page by default for this folder” so that a checkmark appears in it. 
  8. Click OK … and you’re done.  Whenever you click on <MyLCSC> it will automatically return you to the Intranet Site.
  9. To create a similar link under the Outlook Bar under Outlook Shortcuts, simply open the Outlook Bar (via the View menu), drag the MyLCSC link from the Folder List to the Outlook Bar under the Outlook Shortcuts … and you’re done.
  10. Close the Outlook Bar if the user did not already have it open. 

To test:  (VERY IMPORTANT TO TEST) 

  1. Click on Journal and verify that it takes you to the Intranet Site.
  2. Shutdown Outlook, then launch Outlook and verify that the Intranet appears as the opening screen.

How do I acquire a LCSC E-mail account
Answer:
New E-Mail Request Form

Faculty/Staff:  Request must be made through your department Administrative Assistant to the Helpdesk at 2231.  IT will verify the access requirements that will be granted.

Students:  LCSC has a Student E-Mail Messaging System called LCWarriorMail.  The web address is
www.lcwarriormail.com.  An account is setup automatically for all newly registered students.  The LCWarriorMail flyer has information on how to access the site.

What can I do to reduce my storage requirements in email?
Answer
The basic solutions are to either delete or archive/move mail off of the email server.  This can be done in a variety of ways which are described below:

Auto Empty Deleted Items Folder When You Log off of E-Mail:  If your email account is not configured to automatically empty the “deleted items folder” of deleted mail, you will continue to save all mail you have deleted and this will consume a large amount of storage space.  The best solution is to configure your email to automatically delete email whenever you log off.
1. In your outlook program select ”Tools” located at the top of the screen.
2. Select “Options”
3. Select the “Other” tab
4. At the top of the “Other” tab there is an option to “Empty the deleted items folder upon exiting”, select the box next to it.  If selected it will have a check mark in it.

Delete Old Mail from “Sent Items” folder:  Whenever you send an email, a copy of the email is stored in your “Sent” folder.  If you have not deleted these items, all of the emails you send will continue to be stored and this will consume large amounts of storage (especially emails with large attachments).  Periodically delete the emails in your “Sent Folder” as follows: 
1. If you do not have your folder list visible on the left hand side, please select “View” at the top of the Outlook program screen.
2. Select “Folder List”, the folder list will appear on the left hand side of the screen.
3. In your folder list select “Sent Items”.
4. Click once on the first mail item in the Sent Items folder.
5. Hold down the shift key and down arrow key until all mail items in folder are selected.  Hit the delete key on your keyboard.  This will delete all the items in your Sent Folder.
6. If you wish to only delete some of the items in the folder, you can select items for deletion individually.   

Save E-Mails or Attachments to Your Computer (In Outlook, unless moved, they are stored on the server):
1. Open the E-Mail or Attachment you would like to save to your computer.
2. Select “File” at the top left hand side of the screen.
3. Select “Save As” and choose where to save your item.
4. Once saved in a different location, delete the item in your email account.   

Create a “Personal Folder” In Outlook to Save E-Mails to:A personal folders allows you to have the all the options available in Outlook, but it saves your e-mails to your computer.  The folder will show up in the “Folder List” of Outlook.
1. Select “File”.
2. Select “New”.
3. Select “Outlook Data File” (Office XP) or “Personal Folder” (Office 2000), depending on which version of MS Office you have.
4. Name the folder and select “OK” (Office XP) or “Create” (Office 2000).
5. Folder will show up in your “Folder List”.  To add folders to your personal folder use the same steps as you would with your Outlook Today folders.  (Go to “File”, “New”, “Folder”, and choose which type of folder you want.)

How do I give other people access to my Outlook calendar?
Answer
STEP 1: Giving Access to My Outlook Today Folder

1). Using the folder list (if you do not have the folder list visible, go to "View" and click "Folder List") right click "Outlook Today" and select "Properties" and then the "Permissions" tab.
2).  Click "Add" and select the name of the person to receive permission to your "Outlook Today".
3). In the "Name" box select the name of the person you just added and under "Permissions" choose the access you want the person to have (for calendar access choose "Reviewer" for permissions, this will allow your calendar to be viewed but no other folders). Click "OK", then click "OK" again to exit "Properties".
(This is required for the person to have access to your main folder "Outlook Today" so that the person can view the subfolder "Calendar")

STEP 2: Giving Access to My Calendar

1). Using the folder list right-click the calendar that you would like to give someone access to.
2).  Click "Properties" and the "Permissions" tab.
3).  Click "Add" and select the name of the person to receive permission to your calendar.
4). In the "Name" box select the name of the person you just added and under "Permissions" choose the access you want the person to have (reviewer to view appointments, editor to make and remove appointments). Then click "OK" to exit.

*For Help on an option, click the question mark and then click the option.

STEP 3: Allowing the Other Person to View My Calendar

1). From the Other person's computer, click on the "File" menu and click on "Open".
2). From the "Open" list click "Other User's Folder".
3). In the "Name" box select the name button and select the name of the person that is granting you calendar access.
4). In the "Folder" box select the "Calendar" folder to view and then click "Open".

OPTIONAL STEP 4: To Add the Calendar to the "Other" Person's Folder List

1). Right click "Outlook Today" and select "Properties".
2). Select the "Advanced" button from the "General" tab.
3). Select the "Advanced" tab and choose "Add".
4). Select the person's name that gave you access to their calendar.
5). Select OK and exit "Properties".  Using you "Folder List", you can now see a folder that says "Mailbox- Person's Name" with a + sign to the left.  Select the + sign and the folder will expand to show their calendar.
