Policies & Procedures

  SCHEDULING


1.  The LCSC Information Commons Classroom, ICC, will be scheduled only for activities identified as appropriate to its use.  (See Learning Center Goals in the Information Commons Brochure available at the LCSC Library.)

2.  Generally, only LCSC faculty and staff may reserve the ICC at this time.   Inquiries from outside the college may be honored as special requests and if there is no conflict of scheduling with college events may be considered.  These off-campus requests will be routed for approval through the Director of the Library, Sue Niewenhous, 208-792-2395, sniewenh@lcsc.edu

3.  Request for Use of Facility forms may be downloaded from the Library Web page, completed, and emailed to Amanda Schacher at alschacher@lcsc.edu, or printed forms may be picked up and filled out at the Library Circulation Counter.  Approvals for use will be emailed to requesting parties. 

4.  Scheduling the ICC will require a 48 hour advance notice for approval.  Use request forms will be available electronically from the Library home page and also in print form at the Library circulation counter.

5.  Cancellations for reservations must be made at least 48 hours in advance.  Failure to observe the deadline will result in room rental charges.

6.  The ICC will only be available during hours that the Library is regularly open.  This policy is required to maintain Library and building security and to avoid overtime and additional staffing costs to operate the center.  Any special requests for schedules outside regular library hours will incur costs for personnel to facilitate such use.  These requests will be routed to the Director of the Library to assess costs and approve use.

7.  Charges for room use will be assessed for off-campus groups or individuals using the facility. General rates for room usage by off-campus groups will be:

  1 Hour:    $30
  2 - 4 Hours:    $50
  4 - 8 Hours:    $80
  Over 8 Hours per day:   $100

8.  The ICC may be scheduled for no more than four (4) sessions per semester unless the meetings are part of a regularly scheduled class in the facility.

9.  Confirmation of approval will include notice of reasonable use standards, namely: 

a. Users will clear all tables, counters and the room generally of materials and/or trash at the end of a session.
b. Faculty and/or staff using the facility will ensure that students or guests have left the ICC, and report completion of use to the Library Circulation Desk. 
c. Computers should be turned off, at the completion of the activity.
d. All equipment used during a session should be returned to appropriate cabinets at the close of an instruction session.

Users who do not comply with reasonable use rules will not be scheduled to use the facility again. 
 

  ROOM MANAGEMENT


10.  Circulation staff will open the ICC prior to the first scheduled activity for the day.  The facility will remain open until the last activity or class scheduled for the Center is complete.  Circulation staff will then lock the Center.  During the day, Circulation staff will police the room periodically, making sure that computers are turned off, trash or materials are cleared from the room or disposed of, and that chairs and equipment is generally straightened.  If the room is found to be left with disregard to published use standards, the Director of the Library will be notified, and individuals responsible will be barred from further use of the facility.

11. Reference and other library staff are not available for training on the use of ICC technology.  If the person using the facility requires orientation or training on equipment in the room, he/she should contact Dr. Gary Mayton, Director of Technology for Teaching and Learning, 208-792-2844, gmayton@lcsc.edu for appropriate orientation.

12. Library Circulation staff will provide room access as necessary.  A schedule of approved use will be maintained in the Circulation area and at Reference.  Public Access librarians will monitor use informally to insure reasonable standards and proper use of the facility.  Discrepancies should be referred to the Director of the Library.

13. Cabinets providing access to video players and sound equipment will be left unlocked.  All other equipment in the ICC will be kept in locked cabinets to the right of the SmartBoard screen.  Users who need access to additional equipment must identify those needs in their request to use the facility.  Access to special equipment will be set up by the Director of the Library through the Circulation Department.  

14. An electronic evaluation form will be sent to all scheduled users after they have used the ICC.  Responses will be evaluated by the ICC Advisory Board to determine future policies and procedures.    
 

  MATERIALS SUPPORT

15. The Library will maintain toner cartridges for the printers in the ICC.  Users will supply their own paper.  Requests for maintenance on faulty equipment should be forwarded to the Director of the Library who will place the repair request with the IT Department.
 
  NON-APPROVED ACTIVITY


16. Food and/or drinks may be allowed in the ICC in accordance with the policy about food and beverages in the rest of the Library.  However, users will be reminded that drinks should not be placed in proximity to computers, especially keyboards and processors.  Set-ups for luncheons or coffee breaks and snacks are not allowed in the ICC.   

17. The ICC is not generally available as a location for students to practice presentations unless that practice is connected with a class conducted in the facility and is under the general supervision of an instructor.
