Clubs and Orgs meeting minutes October 21, 2005

 

Meeting called to order at 10 a.m.

 

Matt Smith- ASLCSC Clubs and Orgs- Welcomed club representatives and informed the group that hopefully the minutes from the meeting will be posted on the website soon.

 

Polly Blasko- Director of College Advancement- informed the group that the College Advancement office is located across the street next to the Presidents house in a white building; you are welcome to phone or email her with questions. She spoke about fundraising and what is required of clubs when they are fundraising. Pages 27 and 28 in the Clubs and Orgs Handbook are dedicated to fundraising; please refer to those pages for this information.

The purpose of her office is to be a “clearing house” for all fundraisers on campus. Fundraisers such as taco sales and bake sales the office doesn’t need to know about. Fundraisers that are going to include the community need to go through this office. The reason they need to go through this office is that when there are several different groups asking for donations from community businesses the college doesn’t want to “over-ask.” “The college is trying to be cautious and conscientious.”

Page 27 of the handbook has a page for fundraising groups to fill out that has to be turned in to the College Advancement office before a fundraiser can start.

Page 28 is a “Gift Transmittal Form” that needs to be filled out for any donation over $100 (or worth over $100) so the office can send out a “thank you” and so that President Thomas knows to thank the large contributors.

 

Bert Sahlberg- College Communications Director- Introduced himself as the “PR guy on campus” and spoke about ways to publicize your news and events. (See pages 5 and 6 of the Handbook for information) Bert stated that the key thing when planning an event is to put it on the events calendar which is located on the LCSC website under the campus life and diversity tab. The reason you want to do this is that it saves you from having three events scheduled at the same time, which happened recently with three major events.

Bert also advised that you can write a press-release and send it to The Pathfinder and/or the Tribune or email it to Bert. You can also contact those in charge of Channel 13. He advised that there are couple of things you are not supposed to do, do not put flyers on cars as this is against City Code, and you can’t put flyers on buildings, signs or trees on campus.

 

Brandon Lytle- Student Activities Coordinator: Gave a list of the probationary clubs and advised that they have to have their green re-recognition card, club roster and constitution in by November 15 or their club account will be frozen and/or the moneys will be seized and re-disbursed according to College and Clubs and Orgs policies.

  • If you do not see your club listed it means your club is re-recognized and does not need to submit anything else. If you have questions contact Brandon Lytle at 792-2804 or Myndie VanHorn at 792-2256.

 

Jimmie O’Harra- spoke about changes that are happening on the website and informed the group that the Clubs and Orgs website is located at www.lcsc.edu/studentclubs/

There is now a drop down list for the clubs that takes you to a club page with contacts for that club. If there are any changes that need to be made there is also a form online that you can submit that will go to him and Brandon Lytle. Be sure to include your name, email and phone number on the form so they can verify you are involved with the club. It is better to have a club officer or advisor do the update to avoid confusion. It is also possible to put your club website on the club information page, use the form to submit that information.

 

Brandon Lytle- Informed the group that he had spoke to Dale Askew about the Sodexho issues that were brought up at the last meeting. Askew advised that he is willing to work with the clubs. If a club is having a small function he would like the group to talk to him and he will possibly allow food to come from an outside source. If a club is doing a large function he probably won’t allow them to bring food from an outside source.

Also informed the group that for liability purposes when clubs are doing a function off-campus they have to fill out a form in the handbook. (See pages 23 and 24 in the handbook)

Informed the group that there will also be more revisions coming to the handbook in the future. One of these revisions / additions will be the “Privileges of Recognized Clubs.”

 

Matt Smith- Advised that the ASLCSC Diversity Committee is looking for members from Clubs and Orgs. They are working on a way to get some of the more diverse clubs information out there for students. If any clubs are interested get a hold of Matt Smith or Pasang Sherpa.

Open Forum:

Catherine Martinez of Kinesiology Club mentioned that this meeting wasn’t highly publicized and recommended that more advertisement be done in the future so that club members are better informed about when and where the meeting will be held.

Matt Smith informed the group that the tentative dates for the rest of the semester are November 18 and December 16 at 10 a.m. in the TCC. 

Brandon Lytle- informed that the clubs are required to have a representative at the meetings to be a recognized club. Three consecutively missed meetings or four meetings missed in a year by a club and the clubs recognition may be revoked.
