Email Signature

Your email signature is a direct representation of LC State and is considered an official LC State communication resource. As such, the following guidelines must be followed:

Do's and Don'ts

  • Do utilize one of the official email signature templates (example and instructions below).
  • Do keep your signature simple, including only the essential elements used in the templates.
  • Don’t include logos or graphics (other than the official logo as provided in the email signature template); they increase file size and appear as attachments.
  • Don’t include quotes or sayings.
  • Don’t include links to non-LC State websites. With supervisor approval, exceptions may be made for meeting scheduler links.
  • Don’t include a confidentiality statement unless instructed to do so by your supervisor. Correspondence from an lcsc.edu address is subject to open record requests.

Email Signature Template

  • Instructions: To create your signature, download and open the Microsoft Word template, highlight all of the content (including the logo) of the template you would like to use, copy it, and paste it to your signature setup in Microsoft Outlook. 
  • Font Style: Your name should be listed in Arial Bold, 11 pt. font. It should also be in Warrior Blue (RGB: 0, 56, 101). The rest of your signature font should be Arial Narrow, 10 pt., and in black. Note: the recommended font for the body of your email is Arial, 10-12 pt.
  • Formatting options:
    • Those with long titles should use two rows to display their title and department.
    • Only list your office location if you receive frequent visitors.
    • Instead of the pipe symbol "|" and other separators, use the forward slash "/" as it connects with the forward motion of LC State’s brand and signature graphic.
    • If multiple phone numbers are needed, they can be listed as: "C: xxx-xxx-xxxx / O: xxx-xxx-xxxx". Use hyphens when listing phone numbers (instead of parentheses and periods). Avoid listing fax numbers unless absolutely necessary.
    • The logo graphic within the template is hyperlinked to lcsc.edu so listing a URL is unnecessary.
